How to Create a Royal Wedding Experience for Guests in Udaipur

Ask anyone who has attended a wedding in Udaipur what they remember most. The answer is rarely the size of the mandap.

They remember the boat that carried them across Lake Pichola at dusk. The handwritten note waiting in their room. The person who greeted them by name before they had even introduced themselves.

That is what a royal guest experience really is. In the old courts of Mewar, a guest was received, settled and looked after so completely that they never had to ask for anything.

We are The Wedding Ties, and when families ask us to make their Udaipur wedding feel royal, this is the standard we plan for. Not more décor, but more care at every point of the guest’s journey.

We have already shared how to style each function in our guide to royal Udaipur wedding themes. This blog covers the other half of the story: your guests, from the day the invite lands to the drive back to the airport.

Here is the simple test we use. A guest at a royal wedding should never have to:

  • wait without knowing why,
  • wonder where to go next, or
  • feel like an afterthought because they are not close family.

Everything below is built around those three promises.

1. Begin the Royal Welcome Before Anyone Packs

A guest’s experience of your wedding starts weeks before they land in Udaipur. It starts with the invitation.

For a palace wedding, the invite can set the mood with Mewar-inspired artwork, a wax seal or a hand-painted detail. Our Collateral Design & Printing team designs suites that feel like a royal summons, not just a printed card.

If you prefer going digital, our guide to wedding invitation trends covers the formats Indian families are choosing right now.

Send a guest guide, not just an invite

What makes the start truly royal is the guest guide that follows the invitation. It answers questions before guests feel awkward asking them. A good one covers:

  • How to reach Udaipur: the city is served by Maharana Pratap Airport (UDR), and most outstation and overseas guests connect through Delhi or Mumbai. Overseas guests should also check whether they need an Indian e-Visa well in advance.
  • Weather and packing: the wedding season runs roughly from October to March. Days are pleasant, but lakeside evenings turn cool, so a shawl or light jacket is a must.
  • Dress code for each function: colours to wear or avoid, plus a gentle nudge towards comfortable footwear for palace steps and old-city lanes.
  • Which events they are invited to: with timings, venues and when transport leaves.

Use the RSVP to collect what makes the trip personal

The RSVP is where we quietly gather the details that shape everything later. Think flight timings, dietary needs (Jain, vegan, allergies), guests who need mobility support and children who are travelling.

Our Itinerary & RSVP team turns this information into a personal plan for every guest. If you are handling it yourself for now, our guide on how to manage wedding RSVPs will help you stay organised.

2. Plan the Arrival Around Udaipur's Geography

Udaipur feels compact, but wedding guests rarely stay in one place. A large celebration can spread across a palace hotel on Lake Pichola, a resort near Fateh Sagar and a property in the Aravalli hills outside the city.

The airport adds its own distance. It sits roughly 22 km from the city centre, which usually means a 40 to 50 minute drive for your guests.

That drive is their first real impression of your wedding, so we treat the car as part of the welcome:

  • A personal greeter at arrivals holding the guest’s name, not one crowded sign for everyone.
  • A car hamper with chilled water, a local snack and a card showing their plan for the next 24 hours.
  • A heads-up to the hotel host as the car leaves the airport, so the room is ready when the guest walks in.

Rooms are allotted well before arrival, so nobody waits at a reception counter after a long flight. Our Logistic Management team plans every pickup against the flight list from the RSVP.

Make the lake part of the welcome

This is where Udaipur does something no other city can. Island venues like Jagmandir and the lake-palace hotels on Lake Pichola are reached by boat, and that short crossing is often the moment guests reach for their phones.

To keep it magical rather than chaotic, we plan the water the way we plan the road:

  • Boats run in batches, with a boarding time printed on each guest’s itinerary.
  • Elders and families with young children board first, with a team member at both jetties.
  • Jetty paths are well lit and life jackets are ready for evening crossings.
  • A shaded waiting area with seating means nobody queues in the sun.
  • The far side has its own welcome: rose petals, a shehnai or dhol, and a cool drink.

A grand boat entry for the couple or a lantern-lit procession needs venue coordination and the right permissions, so we start that conversation early. You can read more about Lake Pichola and its island palaces on Rajasthan Tourism’s Udaipur page.

3. Turn Every Room into a Private Royal Chamber

After the journey, the room is where guests spend their quiet moments. A few thoughtful touches make them feel like guests of honour at a palace, not names on a hotel booking.

A welcome hamper that feels like Udaipur

A generic gift box could come from any city. A royal Udaipur hamper tells guests exactly where they are. Our Hampers & Gifting team builds each one around the region’s own crafts and flavours, such as:

  • A small keepsake inspired by the Mewar school of miniature painting.
  • Pichwai-inspired stationery, a nod to the temple art of nearby Nathdwara.
  • Local sweets and dry fruits in a hand-painted box.
  • A little bottle of attar, a fragrance woven into Rajasthani hospitality.
  • A personal welcome note from the couple, ideally handwritten.

For a playful twist, some couples replace the in-room hamper with a gifting corner where guests pick their own keepsakes. It works especially well with a younger crowd.

Nightly room drops that build excitement

This is one of our favourite touches. Every evening, a small surprise appears in each room, tied to the next day’s function:

  • Before the haldi: cotton flip-flops and a scarf they won’t mind staining yellow.
  • Before the sangeet: a mini attar and a card with the night’s dance line-up.
  • Before the wedding: a small kit with safety pins and blotting papers, plus the ceremony guide.
  • On the last night: a thank-you note and their departure details.

Guests stop scrolling through WhatsApp groups for the plan, because the plan comes to them.

4. Give Guests the City Between Functions

Every destination wedding has gaps: a free morning, a slow afternoon before the sangeet. Left empty, these hours mean guests sitting in their rooms. Planned well, they become the stories people tell for years.

Udaipur makes this easy, because the city is full of experiences. We add a short menu of optional plans to the itinerary, and guests simply sign up for what they like:

  • A sunrise or sunset boat ride on Lake Pichola, when the light on the ghats and palaces is at its softest.
  • A guided walk through the City Palace and the old-city lanes around it.
  • Bagore ki Haveli, an 18th-century lakeside haveli whose museum even has a section on royal weddings. Its evening folk-dance show, Dharohar, makes a lovely cultural outing (we confirm the current venue and timing before booking).
  • Shilpgram, a crafts village on the city’s edge, perfect for guests who love handmade souvenirs.
  • A sundowner near theMonsoon Palace at Sajjangarh, with sweeping views over the lakes.
  • A temple morning at Jagdish Temple for elders, or a half-day trip to Shrinathji at Nathdwara for devout families.
  • Slow wellness: lakeside yoga at sunrise or spa time before the big night.

A few rules keep these plans royal rather than tiring:

  • Every activity stays optional, because resting is a perfectly good choice.
  • Each plan ends with enough buffer for guests to get ready without rushing.
  • Every group gets a vehicle and a host, so no one is bargaining with an auto-rickshaw in their wedding finery.

A relaxed function can do the same job. At Chirantan and Shivangi’s wedding at Labhgarh, Udaipur, a breezy boho pool party gave guests a breather between the bigger celebrations.

If you are still building the overall schedule, our guide to creating the perfect wedding timeline shows how to leave room for moments like these.

5. Serve Every Meal Like a Royal Kitchen

In Mewar, food was the purest form of hospitality. A royal guest experience is not about the longest buffet, but about how, where and for whom each meal is served.

  • A Mewari welcome dinner: serve the first evening as a seated thali instead of a buffet, so guests feel hosted from the very first meal. Gatte ki sabzi, ker sangri, bajre ki roti and churma bring the region to the table, with laal maas for non-vegetarian families.
  • Meals with a view: a lakeside breakfast on the first morning or a rooftop dinner at sunset. In Udaipur, the city does most of the decorating for you.
  • Menus built from the RSVP: Jain, satvik, vegan, gluten-free and kids’ menus, each clearly labelled so no one has to ask what is in a dish.
  • Table service for elders: grandparents should never stand in a buffet queue holding a plate.
  • Comfort at the right hour: traditional coolers like rose sherbet and thandai at daytime functions, then hot masala chai and snacks as the lakeside evenings turn cool.
  • A late-night counter after the sangeet: for everyone who danced straight through dinner.

Our Vendor Sourcing & Management team works with caterers and venue chefs on these menus, tasting sessions included. Since food is usually one of the biggest costs, our wedding budget breakdown can help you plan for it realistically.

6. Help Every Guest Understand and Join the Rituals

A Udaipur wedding often brings very different people together. There are grandparents who know every ritual, friends from other communities and colleagues flying in from abroad.

A royal host makes sure each of them feels included, not just present. Here is how we do it:

  • A short ceremony guide: a printed card, or a page in the digital itinerary, that explains each ritual in a line or two. Guests enjoy the pheras far more when they know what each round means.
  • Gentle narration: for mixed audiences, an anchor can quietly explain key moments in English and Hindi as they unfold.
  • Moments to take part in: guests can join the baraat, shower rose petals from the palace balconies during the varmala, or learn a few easy steps at a casual dance workshop before the sangeet.
  • Seating that lets everyone see: palace courtyards can be long and narrow, so we plan seating, screens and camera angles so the last row still sees the mandap.
  • A live stream for loved ones at home: elders who could not travel still get to watch the pheras as they happen.

Our Artist Sourcing & Management team brings in anchors and musicians who know how to hold a mixed crowd. Meanwhile, our Photographer & Choreographer team runs the dance workshops and plans the camera coverage.

7. Make Comfort the Quiet Luxury

Guests rarely notice comfort when it is there. They always notice when it is missing. Udaipur’s weather and architecture call for a few specific comforts:

  • Shawl baskets and patio heaters at lakeside evening functions, because winter nights by the water get chilly.
  • Parasols, hand fans and cool drinks at daytime events like the haldi.
  • Golf carts or porters for long palace corridors and staircases.
  • Ramps and wheelchair access for elders, checked during the venue visit and not on the wedding day.
  • A quiet lounge near every function for elders, young parents and children who need a break.
  • A doctor on call and a first-aid point at each venue.

These checks are part of how our Venue Sourcing & Management team shortlists properties in the first place.

8. Build a Royal Household Behind the Scenes

Every palace ran on a household of people who saw needs before they were spoken. A wedding needs exactly that. For our Udaipur weddings, it usually looks like this:

  • A hospitality desk in every hotel where guests stay, not just at the main venue.
  • One helpline number that every guest can call or message, answered by a real person.
  • Assigned hosts for elders and VIP families, who check in on them through the day.
  • Our Bride and Groom Shadow service, so the couple always has someone from our team beside them.
  • A daily briefing between our team, the hotels and every vendor, so changes reach everyone before guests notice them.

It is the part families mention most often. Bhavna Shah, one of our brides, shared that all her guests talked about their positive experience with our team. You can read more stories like hers on our testimonials page.

And because something always shifts on the day, our team works with a clear plan for the unexpected, much like the one in our guide to handling last-minute wedding day emergencies.

9. Send Them Home with a Farewell Worth Remembering

The last memory of your wedding matters as much as the first. Here is how we close it beautifully:

  • A relaxed farewell brunch the morning after the wedding, with no dress code and no schedule.
  • Departures planned against flight times, with packed breakfast boxes for guests on early flights.
  • A going-home gift, such as a box of local sweets or instant prints from the weekend’s photo booth.
  • A thank-you message a week later, along with a link to the wedding photo gallery.

When the goodbye is as warm as the welcome, the whole weekend feels complete.

Three Mistakes That Make Guests Feel Less Than Royal

Even the most beautiful Udaipur wedding can feel ordinary to guests if these slip through:

  • Filling every hour: an itinerary with no free time leaves guests tired by day two, however grand the functions are.
  • Two classes of guests: close family gets the palace and the attention, while friends in the second hotel get a forwarded message. Every hotel deserves the same welcome.
  • Last-minute information: changing timings late at night and hoping everyone sees the group chat. Changes should reach each guest personally, through their host.

Let Your Guests Feel the Royalty, Not Just See It

At The Wedding Ties, we believe a royal Udaipur wedding is measured by how your guests feel, not only by what they see. The palace and the lake set the stage, but care is what people remember.

Our team looks after the invites, transfers, hampers, city experiences, menus, hospitality desks and farewells. That way, you and your family can be gracious hosts in spirit, instead of managers running around on the ground.

Frequently Asked Questions

1. How many days should a Udaipur wedding be for guests to enjoy it properly?

For most families, three days works best: arrivals and a welcome dinner, pre-wedding functions, then the wedding itself. Add a farewell brunch the next morning.

Try to keep at least one free half-day in the plan. That is when guests actually get to experience the city.

2. When is the best time to host guests in Udaipur?

October to March is the wedding season, with November to February usually the most comfortable. Evenings by the lakes get cool in winter, so plan shawls and heaters for outdoor functions.

Peak dates fill fast at the best properties, so it helps to start planning early.

3. How do you manage guests staying across several hotels?

Every hotel gets its own hospitality desk and host, the same hampers and the same room drops. Transport between hotels and venues runs on fixed, printed timings.

One helpline connects every guest to our team, whichever property they are in.

4. Does a royal guest experience need a huge budget?

Not at all. Many of the touches guests remember most cost very little, like a handwritten note, a clear guest guide or a buffer before each function.

We help families spend where guests feel it the most: transport, hospitality staff and food.

5. Can you look after international and NRI guests?

Yes. We add e-Visa pointers to the guest guide, match pickups to late-night international flights and share ceremony guides in English.

We also help guests find Indian outfits to buy or rent locally, so they feel part of every function.

6. How can we get started with The Wedding Ties?

Our experience with TWT was amazing! They made life so easy for my parents and in laws. Made sure the event went smoothly and took care of every small thing. All our guests talked about their positive experience with their team.

No matter what the time of the day was, they were ready and willing to help. They really took a huge burden and stress away from our family so we could focus on our day and enjoy with our guests.

The Wedding Ties, one of the best teams we’ve come across in every aspect of management right from the planning to the execution for our functions.

The coordination among the team members is excellent and were on toes. All the things as discussed for were arranged well in time.

The work was very well segregated among the members. The team delivered its best for making THE DAY special for us.

Chinmai and Siddharth, the team members were in direct contact with us from the day we booked them as the planner in getting what we wanted as our dream wedding.

I would highly recommend Team – The Wedding Ties.

We onboarded The Wedding Ties for our small wedding of 100 guests in December 2020. In a span of 4 months, the entire planning, from location sourcing to vendor finalization was done. The team at TWT was very accommodating and patient with us. While there were some differences of ideas and opinions, they always kept our needs as top priority! Ultimately resulting in bringing to us a beautifully planned wedding, with little ups and downs – but what’s a wedding without some ups and downs

Special mention to Siddharth, who is a go getter and always had a solution to everything! Another big plus was the Bride and Groom Shadow service they provided for the 3 days of the wedding functions.

A big shoutout to the entire team of TWT!

There are Wedding planners and then there are people who are God sent .. that’s exactly what TWT is. A bunch of relentless, hardworking professionals, quietly working behind the scenes and making things happen no matter how challenging or impossible. Give them a free hand and they will work their magic, manifesting things out of thin air.

TWT went above and beyond for my sister’s wedding and created moments, which are still highly talked about and deeply appreciated by all our family and friends. What they managed to achieve in an extremely short amount of time was truly incredible. With a team like that looking out for you, you can really focus on enjoying the celebrations which many of us fail to while organizing such an event.

Pratik not only took off that stress from us but also guided/advised us on crucial financial and creative decisions. He was there, also as a friend and a wellwisher when you needed him. Siddharth offered the same enthusiasm and care all along. Their eye for detail, problem solving capabilities, planning and execution is simply outstanding. It goes without saying that TWT will be our go to guys for any future event in our family.

Thank you Pratik, Siddharth and everyone at TWT,it was a pleasure knowing you all, you guys have been absolutely fantastic !!! Godbless

Our beautiful journey started in December 2019. A destination wedding with a long guest list and even longer bucket list for the perfect wedding!

But, thanks to the Wedding Ties team who made it all happen seamlessly with utmost care.

Chinmai & Pratik executed our dream wedding board with an exceptional team that made everything look effortless. The guests at our wedding were in awe of everything they saw around them, and it wasn’t just what they saw but what they felt too.

Don’t think we could’ve pulled off this wedding without them. Special shoutout to Sagar & Kosha who hustled day in and out to make ends meet!

My family & I would 100% recommend reaching out to them if you’re planning your special day.

We associated with TWT about 8 months before our wedding day and ever since it’s been a great journey!

We had a destination wedding of 500 people which last minute was cut down to half its size due to the omicron surge, but TWT team worked their best even under so much pressure.

Whether it was managing and coordinating with hosts, guests, hotel staff, events team and all other vendors or paying attention to minute creative details, they covered it all!

I have to give a special shout-out to Sagar and Siddharth from TWT team for their infectious passion, energy and
dedication to their work!

Kudos to you guys.
